5 Common Office Printer Problems and How to Fix Them

Multifunction printers are critical pieces of technology in any office, so if your printer won’t print, your entire business can suffer. If you have a multifunction printer, it is important to know how to fix some of the most common printer issues so you can keep your business running efficiently. 1) Printer Problem: Your computer can’t connect to the multifunction printer Probably the most common issue that users experience with their multifunction printers is losing the ability to connect to them. Unfortunately, this can also be one of the trickiest problems to solve because there are so many potential causes. If you can’t connect to your printer, there are a few things you should do: First, make sure your printer is plugged in and turned on. This might sound obvious but is sometimes overlooked when things get busy. Try restarting the printer. Occasionally, network connectivity problems can be solved by simply powering down the printer and allowing it to reboot. Make sure your printer isn’t displaying any error messages or warnings. You should also verify your computer is connected to the network. Finally, make sure your printer has sufficient toner and is stocked with the appropriate media in the designated paper tray. If the printer can copy and scan but cannot print, the problem could be with your computer or your network. First, check your computer’s printer driver to make sure you have installed the most current version. On a Windows PC, follow these steps: Open the Start Menu, and navigate to Settings. Navigate to the Devices menu. Make sure Printers and Scanners are selected on the left side of the menu, and find the printer. Select the printer, and then click Manage. On this menu, you’ll have several options. You can choose to Run the Troubleshooter to have Windows try solutions automatically, or you can check your device’s driver settings yourself by selecting Printer Properties and then clicking on the Advanced tab. 2) Printer Problem: Print jobs take too long If your office relies on the printer for large print jobs, you may wish there was a way to speed things up a bit. Fortunately, for most business-class MFP’s, there is. By making a few simple changes to the printer, you can speed up the printing process – and possibly save on expensive resources at the same time. Network Speed – If it takes a long time to send print jobs to your printer, you may want to check your network connectivity. Many people connect to their printer via WiFi, but if you have a poor signal or use an outdated network protocol, large print jobs can take a long time to send. Try repositioning your router or upgrading it to a newer model to boost your signal strength and gain some more bandwidth. Print Quality – One way you can speed up the efficiency of your print job is by adjusting the print quality. Most MFP’s default to High-Quality mode, but this setting prints more slowly than other modes. By changing the mode to Draft or Standard, you can print faster and save resources. Keep in mind, however, that lower quality modes result in print jobs with lower resolution and “grey”-looking blacks. If the image quality is a priority, you may just have to be patient. Simplex and Duplex – Most MFP’s offer duplex printing – or double-sided printing. Duplex conserves paper, but it’s also slower. If every second counts for your print job, switching to simplex (single-sided) mode can save time. Upgrade Your MFP – When all else fails, it might be time to upgrade your printer to a newer, faster model. Modern MFP’s can print dozens or even hundreds of pages per minute and offer a wide range of other productivity and security features as well. 3) Printer Problem: Frequent paper jams Every printer experiences a paper jam once in a while, but if your printer is jamming frequently it’s often a sign of a larger problem. Here are a few things to check: First, make sure you have the right size paper loaded in the paper tray and that the printer is set for the same size. Make sure the paper is loaded properly. It’s very easy to place the paper in crooked or to overfill the paper tray, which can quickly lead to jams. If you’re using a new kind of paper, make sure it’s not too thick or too thin. Heavy-weight paper can sometimes clog around belts and drums, while thin, lower-weight paper might wrinkle or tear easily and cause jams. Printers that have been in use for a while can start to jam because they are clogged with paper dust or loose toner. Wipe or vacuum away dust from the inside of your printer to see if that helps it run more smoothly. Paper jams are also frequently caused by humidity, which causes the paper to swell and clog more easily. If your printer is jamming frequently and there doesn’t appear to be an issue with it, you can try using a dehumidifier in your office to bring the humidity down. 4) Printer Problem: Lines, spots, or marks on print jobs One of the most frustrating printer problems is unwanted marks on your print jobs. These marks can take many forms, including faint lines, small spots, and smudges. If you’re noticing unwanted marks on your prints, there are a few steps you should take. Determine when the marks are appearing on your print jobs. If they appear on print jobs and copy jobs, there could be an issue with your print drum or paper feeder, or there could be toner leaking into the interior of the printer and adhering to print jobs. If they appear on copy jobs and scans but not digital prints, the issue is most likely with your copyreader or glass. Try cleaning smudges or marks on the glass above the copyreader cleaning it with a gentle glass cleaner and a soft microfiber cloth. Never use paper towels or regular cleaning cloths because they can scratch or mark the glass. If there are marks on every printed page, there could be a problem with your print drum, developer, or paper feeder. This isn’t a problem you should attempt to fix yourself – instead, call technical support or schedule an appointment with a print technician. 5) Printer

WHEN TO REPLACE OR UPGRADE OLD OFFICE EQUIPMENT

Every business relies on technology to stay productive. Computers, printers, servers, and more – all of these devices must work consistently for your organization to operate efficiently. So what happens when the technology you depend on starts to become unreliable? No matter what kind of technology you use, it all has a limited lifespan. Here are a few things you can look for to determine if your office needs a technology refresh. Signs You Need to Upgrade Office Equipment Slow Performance – Many people complain that their office equipment begins to run more slowly over time. For example, computers lose speed for several reasons, including a shortage of RAM, low hard disk space, software updates that require more resources, etc. Another example is older inkjet printers, which will typically perform more slowly than newer laser models. If your devices are running too slow, it may be time to replace them or upgrade. Incompatibility – Often, upgrading a portion of your network, such as switching to a new application or server operating system, leads to a partial loss of functionality in your older equipment. This can be caused by a lack of appropriate software or resources, or it might be because older hardware is no longer supported. By replacing or refreshing office equipment every three to five years, you can reduce the risk of incompatibility between devices and applications. Overworked Equipment – Significant growths in business such as opening new locations, hiring new employees, or expanding your product and service offerings may take a toll on your computers, printers, and servers. If your copier is struggling to handle the increased workload or your server is bottlenecking from an increase in traffic, you should think about upgrading to newer technology that is built to meet such high demands. Frequent Service Issues – Frequent repairs and service issues can result in decreased productivity and costly downtime. If you have noticed an increase in the number of It Support calls in the last six months or the number of repairs performed on the same office copier or printer, it’s time to evaluate whether your old technology is costing you more to maintain than it’s worth. Making Sense of Upgrading – Once you have determined that your office needs a technology facelift, knowing where to start can be tricky. For instance, if your employees are having trouble accessing network resources from their PCs and laptops, what exactly do you need to fix? Do you need to upgrade their computers, the server, or the network infrastructure? Knowing what to fix or replace and what to replace it with requires careful thought. Here are a few office equipment questions for you to consider. What technology (and applications) are critical for your business? Upgrading mission-critical equipment and applications is a risky process, and it needs to be handled with caution. For example, if you rely on a particular piece of software for tracking customer orders, you want to be sure that it will work flawlessly on new computers or servers to avoid a disruption in business continuity. Is keeping old office equipment affecting your bottom line? Is your equipment costing you more than it’s worth? Even if your old copier works on your updated network, you might benefit more from having a newer copier that offers energy-efficient features, faster print speeds, and lower costs-per-print. Also, it Is important to note that servicing older equipment is more costly because parts are typically harder to find, and often this maintenance is not covered under warranty. What is the most cost-effective method to upgrade your office equipment? Replacing all your office equipment to optimize your performance or to solve functional issues just is not financially realistic for most organizations.  As a result, many business owners hang onto dated technology for far longer than they should, and employee productivity suffers.  In recent years, however, a new purchasing model has emerged to give business owners a more cost-effective alternative to procuring new technology.

ADVANTAGES OF MULTIFUNCTION PRINTERS

Most printer manufacturers offer multifunctional models that provide the capabilities of multiple machines in a single unit. These devices often include print, scan, copy and fax capabilities in the form of one all-inclusive machine. Originally marketed for home and small business users, many manufacturers now offer larger and more robust models for medium to large business use. Understanding the advantages and disadvantages of a multifunction printer helps you make an informed decision when purchasing new equipment. Convenience A multifunction printer offers the convenience of additional features you may not have purchased otherwise. For example, if you normally do not send or receive many fax messages, you may not have invested in a separate fax machine. However, a multifunctional printer that includes fax capabilities allows you to send or receive the occasional fax without an added expense. In addition, the ability to scan an image and then print that image using the same machine offers another level of convenience by saving you the time of walking to two separate devices. Space Savings Perhaps one of the greatest advantages of a multifunctional printer includes the space savings offered by the device. Rather than having to find space for a printer, a copier, a fax machine and a scanner, you can have the same functionality in a single machine. This space savings may benefit those trying to make the most of their home office space or those working with significant space constraints. Cost Savings Another advantage of a multifunctional printer includes the cost savings of purchasing one device that performs multiple functions. Although the purchase price for an all-in-one printer may exceed that of a traditional printer, the overall cost typically remains less than purchasing multiple machines. Therefore, you can benefit from increased functionality without paying for each feature. In addition to the savings associated with the original purchase price, maintaining one device costs less than maintaining multiple devices. Power Savings Multifunction printers typically require one cord to power the entire device. Not only does this reduce cable congestion, it lowers the electricity required to run the device. This power savings also leads to increased cost savings.

THE BENEFITS OF CLOUD PRINTING

Have you ever been in the staff lounge, pumping yourself up for your big presentation, only to realize you forgot to print off a crucial addition to your report? You quickly run to your office and jump on your computer, to find your laptop has decided to undergo updates. You frantically watch the update status, your heart rate rising with each tiny creep of the progress bar. Eventually your computer turns back on, you access your report, and send the much-needed file to the printer, then collapse in your chair. Unfortunately, you’re not in the best headspace to give your presentation anymore. Remove the printing stress However, if your office had implemented cloud printing, this all could have been avoided. Sipping on your coffee, you realize your crucial oversite, pull the file up on your phone, and send it to your Toshiba printer. As you are comforted by the gentle whirring of the printer down the hall, you finish your coffee, ready to give the presentation of a lifetime. HOW TO CHOOSE THE RIGHT BUSINESS COPIER

When it comes to selecting the right copier for a business office, one size does not fit all. Selecting the best copier offers benefits for employees and a business’s bottom line. When considering which copier or printer is right, businesses should consider the following questions:  HOW WILL THE COPIER BE USED? Make a list of tasks you expect your office copier to perform. For example, many businesses use their copiers for copying, scanning, faxing, printing, folding, stapling, binding and saddle stitching. With the right office copy machine, these tasks can be automated. It’s a good idea to separate the task list into two columns: must-have features and wanted features. This list will help you determine the final configuration and investments required for your equipment. WHAT IS YOUR MONTHLY PRINT VOLUME? Essentially, how much are you using your office copier? Are you printing thousands of documents, or are you printing a few pages each day? How many employees use the copier? Higher-end copiers handle higher print volumes better than lower-end varieties. HOW MANY COPIERS ARE NEEDED? Many factors need to be considered when you’re determining how many copiers your business needs. First, look at the volume. Next, consider the number of employees who use the printer regularly. Finally, think about your office layout. How far does each employee have to go to get to the nearest printer? If they’re required to wander through a maze of cubicles or go to another floor in your building, the copier’s placement might be wasting your employees’ time. DOES YOUR COPIER KEEP UP WITH DEMAND? If employees are frustrated with how long it takes to print a document, your copier is not printing enough pages-per-minute to keep up with demand. Alternatively, the copier might be tied up producing a large print project. While this one is a bit trickier to gauge, try paying attention to your copiers during their busiest times of the day. Are the machines backed up? If so, they either need to print faster, or you could benefit from adding another copy machine to your fleet.  WHAT ARE YOUR CURRENT PRINT COSTS? To determine your current print costs, start by listing every type of cost associated with your current print network. Are you spending money on repairs? What do your supplies (toner, paper, staples, etc.) cost? How much are you paying for maintenance and repair service? How much is it costing you to print documents?

BUYING VS LEASING OFFICE EQUIPMENT

Buying Checklist of things to consider: ✓ Cost ✓ Depreciation ✓ Maintenance history ✓ Usage frequency ✓ Purpose of purchase ✓ Taxes ✓ Technological changes Pros of Purchasing Office Equipment Outright 1. As soon as you make that payment, you are in complete control. It’s easy. The equipment is now yours. You’ve spent the money, you don’t need to think about repeat payments. If you’ve factored in depreciation and lifespan then you know if this option is viable or more importantly will be a good return on investment. 2. The maintenance is up to you. This ‘pro’ can land under both purchasing and leasing depending on the terms of a lease. Having the maintenance be up to you can either work for you or against you depending on the leasing contract. Sometimes a lease requires you to pay for unnecessary maintenance yearly that may not be necessary, and sometimes the lease requires the company leasing you the equipment to pay for all necessary maintenance. This is definitely worth noting when deciding to lease versus buy. 3. Tax incentives. As a business owner, you are entitled to fully deduct the cost of some newly purchased assets in the first year. Leasing Checklist of things to consider: ✓ Terms of contract ✓ Monthly cost and your budget ✓ Maintenance ✓ Customer service of the business leasing you the product Pros of Leasing Office Equipment 1. Up-to-date equipment. Leasing allows you to continuously keep your equipment up-to-date. The producers of printers, copiers, and other tech equipment continuously come out with new products that are better than the one you bought the year before. Leasing allows you to pass the burden of out-of-date technology to the company that is leasing you the equipment. 2. Smaller upfront costs and manageable monthly expenses. When leasing a product, you often have to pay nothing upfront and your monthly fee is set allowing you to budget accordingly. Also allowing you to invest money in human capital to grow your business. 3. Trial and error – acquiring the best equipment for your business. Leasing enables you to try products short-term and decide if they are right for your business. There is nothing worse than purchasing a new piece of equipment and realizing that no one in the office uses it and that you need something different.
